How can I create a Scheduled Email Report?

Scheduled email reports are automated emails at a time and frequency set by the user

Scheduled Reports can be set up for one or multiple Mention Streams and can be customised to reflect your preferred branding, recipient list and delivery schedule.

To create a new report, click on the Reports tab on the left-hand side and select Scheduled Reports. Alternatively, select Launchpad from the left-hand panel then 'Build a Report' from your Action Buttons.

Create your Scheduled Report and set your Preferences

When creating your Scheduled Report, you’ll first need to set your preferences including:

  • Title and Subject Line: This will display in the subject line of the Scheduled Email and at the top of the report.

  • Recipients: Manually add individual emails to the field or alternatively, add recipients from an existing Distribution List by selecting the downwards arrow.

TIP: You can clear all recipients by selecting the ‘X’ Icon.’

  • Send As: The 'Send As' field will display as the 'From' name for report recipients. This can either show the name of your Organisation, your own User Name or a Custom entity.

  • Font Size: Choose your preferred font size whether that be Small, Regular or Large.

  • Layout: Choose a Regular Layout or a Condensed View with no Icons displayed.

  • Brand Profile: If your Organisation has created Brand Profiles, you will be able to select your preferred branding (Logo, Header Image.Theme Colour, Font) for your report by clicking on it. If your Organisation has created multiple Brand Profiles, you can also click on ‘Show all’ to reveal the entire menu.

TIP: Hover your mouse over your preferred profile to see a preview of your branding.

  • Advanced Options: Continue to customise your Scheduled Report using Streem’s Advanced Options, simply click the downwards arrow to select your preferences:

    • Send Email even if there is no Mention

    • Display Keyword Count

    • Display Highlighted Keyword Excerpts

    • Include PDF Report

    • Include PDF Print Cuttings

    • Condense Multiple Mentions

    • Condense Multiple Mentions (TV and Radio)

    • Include Daily Highlights

    • Include Media Items and Transcripts

    • Hide Folders with no Content

    • Add a Custom Header or Footer

Once you have made your selections, ‘Save’ your Report as a Draft. Should you choose to exit the Scheduled Report Builder, you can return to your report by selecting it from the Scheduled Reports Tab and clicking on the Pencil Icon to continue editing. Alternatively, proceed by clicking ‘Next.’

Add your Mention Streams and arrange your Content

Now that you have set your preferences, you can add multiple Managed or Custom Mention Streams to your Scheduled Report under unique Folder Names. Once you have created a new Folder, simply toggle on your preferred Mention Streams from the drop down menu and select ‘Confirm.’ Once you have done this, a table will appear showing Average Daily Mentions (to assess coverage volumes) and available Media Types for your chosen Mention Stream. You can then toggle on/off the Media Types that you wish to appear in the report.

TIP: If you have created multiple Folders, you can drag and drop these to change the ordering of the report. Alternatively, hover your mouse to the right of your chosen ‘Mention Streams’ label to ‘Move to Top’, ‘Move to Bottom’ or ‘Remove’.

You can view Advanced Options for your coverage by selecting the downwards arrow. Options include the ability to sort your coverage in Ascending or Descending by Time, Journalist/Author, Source, Word Count or Potential Audience.

You can also arrange your Content by Media Type within your Folders, simply drag and drop to order.

Once you have made your selections, click ‘Save’, then ‘Next’ to begin scheduling your coverage.

Scheduling Options

You can choose your desired schedule for these reports: Once, Weekly, Fortnightly, or Monthly.

Once

You can set-up a Scheduled Report to be delivered as a once-off by selecting the Date and Time from the Calendar picker with the appropriate content timeframe.

Weekly

You can set-up a Scheduled Report to be delivered Daily or Weekly by selecting the Days of the Week and Delivery Time with the appropriate content timeframe.

For example, you may be looking to set up a Daily Scheduled report to be delivered Monday to Friday at 8 am, containing the last 24 hours of content.

You can also set up a Weekly Report with Multiple Schedules, to capture different time frames of content. For example, you may want your Monday report to capture the weekend's content, and Tuesday-Friday to capture the last 24 hours.

Scheduled Reports can also be delivered on a recurring schedule, throughout the day. For example, you may need a recurring Scheduled Report from 8 am-5 pm on Monday, delivered every 2 hours, covering the last 2 hours of content. This would be appropriate for big media days such as AGMs or Financial Results.

Fortnightly

You can set-up a Scheduled Report to be delivered fortnightly by selecting the Date and Time from the Calendar picker with the appropriate content timeframe.

Monthly

You can set-up a Scheduled Report to be delivered Monthly by selecting the Date and Time from the Calendar picker with the appropriate content timeframe.

As soon as you select a Delivery Frequency for one of the above schedule types, you will be alerted to the next delivery date and time for that report. You will also have the ability to ‘Send Test’ to preview your report.

Once you are happy with your selections, click ‘Save and Close’ and your report will be live.
