Creating a new Media Release
You can create a new Media Release in 3 ways:
From the Outreach launchpad
From any existing List
From the activities page
At any stage, you can save a draft and return later, or schedule for future delivery.
Add content
Start by adding your subject line. We recommend something short and recognisable, as this will also be used as the title of this Media Release in your activities section.
Brand Profiles
Using a Brand Profile is the perfect solution if you're frequently sending different Media Releases on behalf of different brands, subsidiaries or clients. Brand Profiles ensure that all Media Releases have a consistent styling, including fonts, headers and footer images. To apply a Brand Profile, select from the drop down where you'll be able to view a preview of the styling.
TIP: Brand profiles are managed by your organisation's super users, and can be edited on-demand via the Brand Profiles page.
Templates
Using a Template allows you to pre-fill standardised body text and text formatting. This is the perfect solution if you frequently issue Media Releases with similar body components e.g. Headers, Footers, disclaimers or introductory text. You can either select an existing Template from the drop down menu, or create a new one by formatting text and clicking the "Save template" button. TIP: If you've already inputted free text, selecting a template will overwrite any text you've already added.

Preview
You can preview your Media Release at any time by clicking on the preview button which will display a dynamic view of the Media Release for Desktop and Mobile.
Attachments
You can add multiple attachments to your Media Release, keep in mind that the total size limit cannot exceed 10MB.
Choose Recipients
Now that you've finalised the look and feel of your Media Release, it's time to add recipients. You can:
Select existing Lists
Merge multiple Lists
Add individual influencers or outlets to your Media Release
You can review the full list in the dynamic display beneath. If you'd like to remove an influencer or an outlet, click the cross button and this will remove it from this campaign (but will not remove this from the original list that this was received from). You can also search to confirm if a specific influencer/outlet appears in the Distribution list. The source column will provide an indication of where this influencer/outlet originated from e.g.
An existing contact list
A journalist search
Note: A Media Release can be sent to a maximum of 5,000 recipients
Schedule or Send your Media Release
Now that you've finalised the branding and recipients, it's time to finalise the send details of the Media Release.
Start by customising the Send As address. Note that this is not DMARC, but overwrites the From Name and and Reply to address. If you select a custom field, make sure this is something reputable.
Visibility
Define the visibility of your Media Release. If the Media Release contains sensitive or embargoed content, we'd recommend using the Private setting, which means that no one else in your Organisation or Team will be able to view or edit this Media Release, nor will they be able to view or download any analytics from this release. If you'd like to collaborate with your team and allow others to view or edit the press release, we'd recommend setting this to Public.
Timing
You can either send your Media Release immediately, or schedule a date or time in the future for this to be delivered. TIP: The send time on a scheduled Media Release will always reflect the timezone of your device. If you'd like to change this, you can change this on your user preferences page.
Notifications
Want to keep up to date with opens and clicks in realtime? Select the Email Me toggles if you'd like to receive an alert everytime a recipient opens your Media Release or a link within in.TIP: We don't recommend using this if you've set up a large distribution list containing hundreds of influencers or contacts as this may mean that you'll receive hundreds of alerts in your inbox. If you'd like to access detailed analytics on open rates, click through rates and bouncebacks, you can access this on the Analytics page.
Tags
Is your Media Release part of a broader campaign? Would you like to categorise your Media Releases by client, theme or topic? You can use the tag function to assign an existing Tag and colour to a Media Release, or create a brand new tag on the fly by typing into the text box.
