Lists are a key feature in CisionOne Outreach that allows you to organize your contacts and target specific groups for email campaigns. Using lists effectively can help improve your outreach efforts by grouping contacts with similar interests and allowing you to communicate with them in a more customized way. Once you have searched, filtered, and refined, Influencers, you can create Lists.
The Outreach ‘Lists’ tab will display saved lists within your account.
You won't be able to see Private lists managed by other users in your organization.
The Lists table provides vital information about media contact lists, including:
The number of media contacts associated with each list.
The quantity of media releases connected to each list. This shows how actively each list is utilized for communications.
The creator of the list within your organization. Knowing the original list owner can be helpful for maintenance and updates.
The tag(s) which have been assigned to that specific list.
The privacy settings on the list - whether it is accessible organization-wide or limited to the creator.
The most recent editor who modified the list. This indicates who has recently updated contact details or added new media.
The date the list was last updated. This timestamp indicates how current and accurate the contacts are.
Sorting Lists
Media lists have sorting options that can be selected at the heading of each column. The sortable columns are:
Name
Contacts
Media Releases
Last Updated (by default, lists are sorted by last updated - the newest created list will display first).
Filtering Lists
There are filtering options within the list view. In addition to a character match in the search bar, lists can be filtered by:
Tags
Public/Private Lists
Created By
Updated by
Adding Lists
From the Lists tab, click the ‘Add New List’ button.
Add your list name, and a description for your list, and adjust your list permissions to public or private. NOTE: Private lists will only display for the list author. Public lists will be displayed for all users across your organization.
Assign a new or existing tag to that the list.
Click ‘Save' to generate the new list.
Search for and select media contacts to add to the new list using the search bar and checkboxes.
Click ‘Add to List’ once you've selected your desired contacts.
The new media list will now appear in your ‘Lists’ tab alongside your other lists.
Searching for Lists
The search bar can be used to search for any List within your account.
You will not be able to search for private lists managed by other users in your organization.
Editing a List
The pencil icon under the actions column will allow you to edit your list name, add a description, and adjust your list permissions to ‘private’ or ‘public’.
The plus icon will allow you to duplicate any existing list.
The trashcan icon will allow you to permanently delete a list from your account. NOTE: Deleted lists cannot be recovered. If you are deleting a public list, this will remove the list for all users across your organization.
Managing a List
The remove button will allow you to bulk remove multiple contacts from your saved media lists.
The Add Contacts button will allow you to manually find Journalists or Outlets within the Cision’s database, or to find privately added contacts within your account. You then have the option to add the Journalist(s) or Outlet(s) to media lists within your account.
To merge contacts or outlets onto one or more saved lists within your account:
After selecting the journalist(s) or outlet(s), click add to list and select the lists you would like to merge your contacts onto.
Choose Create New List within your account.
Select submit to save your media list to your account.
Sending a Media Release
To send a Media Release, select a single list or multiple lists and click on the Send Media Release button.
This will open the Media Release Builder, which will allow you to prepare a new Release from scratch, or build from an existing Template and Brand Profile.
Copy Emails, Download, or Delete Lists
While reviewing your saved media lists you can:
Send Pitch using CisionOne’s artificial intelligence to build a pitch.
‘Copy Emails’. This button will compile all the emails associated with your list into a comma-separated format. Paste the emails externally. You can now paste the comma-separated emails into any external document or platform.
Alternatively, ‘Download as CSV’. To save your entire contact list, click the ‘Download CSV’ button in the dropdown menu. This will download a CSV file containing all the contact information. The CSV file can be opened in spreadsheet software for viewing and editing. It provides an easy way to export your full list for external use.
'Add Tags' lets you add a new or existing tag to your list(s).
