What kind of personal data is being collected when I use the Intercom chatbot on CisionOne?

1. What kind of personal data is being stored?

The chatbot will log the name and email you used to login to CisionOne, your chat inputs history and information about your browser and operating system.

As this chatbot operates within our Cision One platform we store certain standard data fields related the particular user who has asked the question, plus anything else they type into the bot. The full list is below:

  • Name (user’s full name).

  • Email (user’s or lead’s email address).

  • Phone number (a user or lead's phone number).

  • Web sessions (the number of times a user has visited our site or web app).

  • Last seen (the last day a user visited our site or app).

  • First seen (the first day a user visited our site or app).

  • Recent page views (the URLs a user has visited on our site or in our web app)

  • Signed up (the day a user first signed up for our product).

  • City and country (calculated by the lead or user’s IP address location).

  • Last contacted (the date we last contacted a user).

  • Last heard from (the last day a user contacted us via message or email).

  • Last opened email (the date the user most recently opened an email).

  • Last clicked on link in email (the date the user most recently clicked on a link in an email).

  • Unsubscribed from emails (when a user unsubscribes from an email from our team).

  • Tag (a group a user belongs to, based on a tag we’ve applied to them).

  • OS (the operating system a user is using).

  • Browser language (the language set by the browser a user is using).

  • Browser version (the precise version of the browser a user is using).

  • Language override (a preferred language setting for a user).

  • Messages, comments and conversations in Intercom.

Intercom is unable to access e-mails customers send within the CisionOne platform, unless automatic forwarding is set up, which it is not.

Intercom collects user data when a user logs into their platform. Data collection occurs when a user logs in.

The data collected includes:

  • First and last seen dates

  • Number of web sessions

  • Browser language and version

  • Recent pageviews

  • City and country based on IP address

  • Operating system

2. Where is the data being stored & is this public facing/shareable or only available to Cision?

Data is stored on Intercom’s Amazon Web Services (AWS) servers in the United States.

Intercom also uses other third-party sub-processors in the United States in order to provide our services

Any data inputted by the customer into the chat bot will be sent to a third party suppliers but not stored by them. These are large language model (“LLM”) providers- AWS Bedrock, OpenAI, LLC, Anthropic, PBC, Microsoft’s Azure OpenAI.

3. Who has access to this data?

Cision customer support teams have access along with technical incident support teams from Intercom.

4. How long will you keep this data? 

Data is stored indefinitely. We are able to manually delete if necessary.
